Sr Legal Assistant

This is a Contract position in Estero, FL posted March 15, 2023.

JOB PURPOSE:

The Sr. Legal Assistant will support members of the Commercial and Technology Transactions Team in Hertz’s Legal Department. The Sr. Legal Assistant works closely with senior members of the legal department and management team. The role also provides extensive support within Hertz’s contract management processes. The role requires maintaining the highest level of confidentiality and handling highly sensitive material. This role supports the Legal Department’s ability to be more productive and efficient in providing legal advice to the company. The role also help ensure that the company’s contracts are well-managed.

Job Contributions

Key responsibilities will include:

  • Provide general administrative support to approximately five (5) members of the Commercial and Technology Transactions Team within the Legal Department.
  • Manage team members’ schedules and calendars.
  • Coordinate travel arrangements and prepare thorough itineraries.
  • Prepare expense reports (in Concur) accurately, on a timely basis, and consistent with company policies.
  • Communicate effectively up, down and across the company to gather information needed by the team, and to share information as appropriate. Requires gaining a thorough knowledge of company policies, practices and people, particularly as it relates to contracting. Also requires building and maintaining good relationships with internal and external contacts.
  • Support all aspects of the team’s contract management activity (e.g., contract approvals and sign-offs, e-signatures, file management; contract research; responding to inquiries about contracts from others in the company).
  • Manage outside counsel billing and other invoicing for the team supported, using the Legal Department’s matter management and bill paying technology tools.
  • Organize and validate information; prepare written reports and correspondence.
  • Additional tasks related to contracting may also be assigned. This includes items such as:
    • Coordinate completion of non-disclosure agreements
    • Generate contractual documents and update bank of contract templates as requested by supervising attorneys
    • Track contract statuses and provide updates to internal stakeholders as needed  
  • Project tasks and project management responsibilities, as assigned from time-to-time.

Experience and Qualifications 

  • A High School diploma or GED required; Legal Secretary/Paralegal Certificate or Associates degree preferred.
  • 3-5 years’ experience of increasing responsibility as an Administrative Assistant or Legal Assistant in a law firm or corporate environment. Experience with contract management databases a strong plus.
  • Demonstrated problem-solving ability.
  • A willingness to dig-in and learn new technology is critical. This role requires digital fluency or – at a minimum – a willingness to learn.
  • High proficiency in Microsoft Office programs required (Outlook, PowerPoint, SharePoint, Word, Excel, Teams).
  • Experience with the use of an eBilling/Matter Management system (e.g., LegalTracker) a plus.
  • Familiarity with legal research databases (e.g., Westlaw/LexisNexis) a plus.
  • Notary public certification is a plus but not required.
  • Ability to read, write, and fluently speak and understand the English language.
